Web Tools To Help Run Your Online Business
There are a lot of online tools I use in running my business. Tools which at one point I didn’t know existed, and when I found out about them, I said
“HOLY COW!!! THAT SAVES ME HOURS OF TIME AND THOUSANDS OF DOLLARS!!!”
I attempted to create this list somewhat here, but it was just too much content creation for me (I just don’t like creating ongoing content…that’s why I only blog once a month!).
So, here’s a big laundry list of tools I use to run my business, and just in general good internet websites to know about.

Great scheduling tool.
I thought Mozy was great for back-ups until I actually had to try to do a restore. Now I use Jungle Disk. It’s faster, multi-platform, and more stable.
Great list, could you let us know who designs your sites and what cms ,(content management system) you use?
Wow John you sure have a lot of web tools
I’m going to have to check some of these out!
I like Google Calander (works great with gmail)
I just started using timedriver, that’s pretty cool for scheduling appointments as well
Oops, it didn’t come through:
http://www.setster.com
Great list – I would also add:
http://www.passpack.com – Online password manager
http://www.domainsuperstar.com – Tools for finding domain names
http://www.backupalicious.com – Online automatic website backups
Disclaimer: I own the last two because I wanted what they provided and couldn’t find anything that could do what I wanted so decided to just make them
As far as phone call recording i just tried modcomet.com. It is free and instantly sent me the recording. It is pretty cool.
Mikogo and DimDim are other free screen sharing that are good.
Highrise (37 signals) for contact management.
I use Mindmeister daily… keeps me sane…
Thanks for the list
Awesome list of tools, thanks!
Very useful list.
I’ve made a list on my website that includes some of my favorites such as lastpass, download manager, and of course- wordpress.
I’m going to add some of yours to my list- I especially like your tracking tools.
Thanks for sharing! These are really helpful tools.
That’s a great list of resources – much appreciated.
Thanks for sharing!
John,
Thank you very much for putting that list of resources
together.
Ken
I like HiveMinder as a todo list alternative to RememberTheMilk.
Great stuff John – thank you. I’ve pretty much been a google apps man for the past couple of years but this has really opened my eyes.
Page now bookmarked
Martin
I use Nozbe.com, an online GTD program. If you’ve looked at it before, you should look again, because they’ve changed & streamlined the interface. It’s very faithful to the GTD system. There is a Nozbe iPhone GTD app as well. I’ve investigated the other GTD online apps you mentioned, & decided Nozbe was the best for me.
Jon,
Thanks for the tools, much appreciated and they will be put to good use.
Google docs rocks btw
It is a very ipressive list! You have been very busy. Thanks, I will have try some of them.
What a great list! I would like to add one that I use all the time…scriblink.com for recording white board presentations using camtasia.
Great list for everyone plus I will be able to add some to my Affiliate Marketing Mindmap resource center
Nice list of tools.
A few more:
RescueTime.com – keeps track of what you’re spending your time on
LeechBlock Firefox plugin – helps you focus by not allowing you to open a few sites during your “work” hours
The best twitter desktop client. Manage multiple accounts and search groups http://seesmic.com/
How about “Clocking It”. Helps you keep track of how you or your workers spend your time. AmazonS3 for somewhere to stream your online videos from. Kunaki for cd and mastering: no minimum order and drop ships.
John,
I’ve been a fan of you and your awesome blog for almost 2 years now.
What a great post (as always). Let me add 3 more:
– delicious for tagging and keeping all of your bookmarks
– sxipper – form filling and remembers all your passwords for different sites.
– dimdim.com for webinars. it’s actually free if you have up to 20 people at one time
In my mind, the 3 tools combined together: dropbox, delicious & sxipper make sure that your online business stays put no matter what. Even if they rob you of your laptop, or your hard-disk goes kaput – you will always be able to keep working your business.
here are a couple more
http://www.dabbleboard.com/account a great free whiteboard and drawing tool that you can either save, email or share online.
Also http://www.tokbox.com/ a free video conferencing website. you can create a video message and email it directly. ( i was going to type imediately, but I cannot spell it
)
Both clockingit and the leech blocker are great finds. Thanks VERY much for the post.
I just installed activecollab but it is a bit unwieldy and has a learning curve.
I found this very intuitive.
The leechblcok plugin is another tool i love. lets hope i remember to switch it on? ( I must add it to may to do list:-) )
another great discovery thanks Gil
I am registered with dimdim. Been looking for something like this for a long time.. AND FREE .. thanks
Hey John!
Wow that one big list of resources! Thank you so much for sharing.
If you’re into Internet Marketing and using “Web 2.0″ sites, I highly recommend http://www.ping.fm – you make one post there and it sends it out to all of your social sites that you’re a member of – very nice time saver.
I’ve been thinking along similar lines as far as making a resource list – but I’m putting most of mine on a website for webmasters. You can check it out by clicking on my name above. I’m adding resources as I get time.
Thanks again for sharing your “List”!
-Mark
Wow! This is saved in my favorites. Very comprehensive list. Thanks for sharing.
@ Lloyd – You’re very welcome.
I was head over heels when I found out about dimdim (as I am always when I find great free stuff that works well) so I knew it had to be on this list.
-Gil
Hi John,
Great list! I love Audacity and Free Conference Call. Been using both of them for years.
Here is another article that reviews online testing tools. Website Magazine: http://bit.ly/32mqlQ
(full disclosure, I am affiliated with UserTesting.com, but this article covers a few of the tools).
Amanda
Jonas, what a nice jester!
I wish I had something to add, but it looks like you have it covered and then some.
Then thanks also needs to go out to the commenters above who also added to the list.
Thanks to everyone!!!
Ralph Justice
Thanks for sharing the list, if it were my own list i would definitely add Twitter, Comindwork and Skype ))
Once again John rocks it. Great list. Got a few nuggets in there.
Great list. There are a lot of good items on there. We used crazyegg but have since traded up for clickheat, an open source alternative you can install on your own servers. Also take a look at Intervals for project management.

Who designs my sites? 99designs.com, domydesignstuff.com, and my GUYS.
What CMS do I use? Wordpress for most stuff. I also use a proprietary one we’ve developed over the years.

I now have you in my Google Reader so I can visit every time you update. Plus I have shared a link to this post from my website to share with my own readers.

If you would like a tool to manage your small business activities and Projects, you can use this web aplication:
http://www.Gtdagenda.com
You can use it to manage and prioritize your Goals (for business but also in other areas of your life), Projects and Tasks. It has a Checklists section, for the routines and repetitive activities that any business has to do. Also, it features a Schedules section and a Calendar, for scheduling you time and activities.
Some features from GTD are also present, like Contexts and Next Actions.
And it’s available on the mobile phone too, so you can access it from anywhere.
John –
Great list.
I note you included the *.ph websites … are those open again to USA employers?
@Danno – OnlineJobs.ph is open to USA employers.
BestJobs.ph is only available as a member of ReplaceMyself.com.
An obvious tool that is not on the list is Skype, and the latest version comes with a screen sharing tool, and works great for video calling http://www.skype.com
Yeah, great list, and here is another awesome tool: http://www.animoto.com – its free and makes it easy to create short professional looking dynamic presentations/commercials with photos and video.
Add to the list, this is the cool niche domain finder using adwords, http://domainsbyvolume.com
Small Business owners are largely forgotten. Thats why I only focus on them. I have experience several members of my family file bankruptcy due to small business failures. I also I suffered through 2 destroyed businesses due to failure however, in my failings I have learned some of the secrets to success. (Who can say they know it all?)
onlineuniversalwork

http://kuler.adobe.com – paid service

http://www.h2desk.com/ – This one is paid but also looks good

Great List. May I add Carbonite for online backups (and restores)and FreeMind mindmapping tool. Both help me keep sane as well.

Dave
The best software we've come across has to behttp://www.freeagentcentral.com – does all your accounts AND invoicing. We're not in any way linked to the product, but have recommended it to our own freelance site visitors on many occasions. It is mainly a UK-based product however.
I could not live without Roboform for keeping track of my passwords!
Dianne
Thanks again Jonas, this is really a big list
I've really enjoyed usinghttp://www.box.net for file sharing and collaboration. I'm beta testinghttp://www.siteplanb.com right now which is an online web/mysql backup and restoration service. Both excellent services and a strong recommendation!
Great List John. Bookmarked for sure. This will get a lot of use from me.
I'm seeking the best resource (book, website or other) for learning how to use Wordpress and the best blogging guide for a beginner. Thanks to you and your followers for any help.
For project management, I think you should add Wrike to the list – For me it's so much more flexible and better.
It's not free, but for Mac-oriented mind mapping, I really like MyThoughts.

Nick
PS You said you have a mastermind group? Can anyone join or do you have to be invited?
another add on is DoubleGlance.com A FREE desktop screen sharing. Nothing to download.
Peter
John you freaking rock. A few of these tools have just made a huge difference to me. An of course getting Phillipine employees has rocked too.
I have just one recommendation. I LIVE on mind mapping software. I even use if for project management for employees. I used to use MindJet till I had every computer in a house burn so now I mostly use web apps. I tried MindMeister for 6 months. Then I went to Mindomo. And I have to say that Mindomo is actually better then MindMeister. Just my 2 cents worth. I use Mindomo to manage all of my employees too.
